What we hold about you, and why

We need a handful of details to survey a job, price it and build it — a name, an address, a phone number and photographs of the work. This notice sets out exactly what we keep, how long we keep it and what you can ask us to do with it.

Who we are

CraftBuilt Renovations Ltd, Unit 7, Ram Quarter, Wandsworth, London SW18 1TZ. Registered in England & Wales, company number 08472913. We are the data controller for everything described here, registered with the Information Commissioner's Office under reference ZA000000 (to be confirmed before publishing). Ruth Adeyemi handles data questions at the yard.

What we collect

Only what a building job needs:

  • Your name, the site address, a phone number and an email address.
  • What you told us needs doing — on the phone, by WhatsApp, by email or on the callback form.
  • Survey notes, measurements, drawings and structural calculations for your property.
  • Photographs and short videos of the work, before, during and after.
  • Quotes, signed variations, invoices and payment records. We do not store card details.
  • Certificates issued in your name — electrical, gas, building control sign-off.

We do not ask for anything sensitive. If you tell us about a health condition or a disability so we can work around it, we note only what the crew needs to know and delete it when the job closes.

What we use it for

Ringing you back, surveying, pricing, ordering materials, booking the crew, notifying building control, invoicing, and coming back out under the guarantee. We also use anonymous totals — days on site, job types, ratings — to price future work properly.

We do not sell your details, we do not pass them to lead-generation companies, and we do not put you on a marketing list because you asked for a quote. If you want to hear from us again, you have to say so.

Our lawful bases

  • Contract — surveying, quoting and building the work you asked for.
  • Legal obligation — building control notifications, electrical and gas certification, tax records, health and safety files.
  • Legitimate interests — keeping job files so we can honour the guarantee, defend a dispute and price fairly.
  • Consent — using your photographs in our portfolio, and any marketing. Withdraw it at any time by ringing the yard.

Photographs of your home

The crew photograph every job daily. Those pictures are part of the job file — they prove what was behind a wall and what condition we found it in.

They go no further than us unless you sign the photography permission on your job sheet. Even then we never publish a street number or a full postcode, and we will take a picture down on request without asking why.

Who else sees it

  • Your local authority building control or an approved inspector, where the work is notifiable.
  • Competent-person schemes for certification — NICEIC for electrics, Gas Safe for gas.
  • Merchants and hire firms, for a delivery address and a site contact only.
  • Our accountant, our insurer and — only if it comes to it — our solicitor.
  • Structural engineers where a job needs calculations we do not do in-house.

Each of them gets the minimum needed and nothing else. Nobody is paid for your details and nobody buys them from us.

How long we keep it

  • Quotes that never became jobs — 12 months, then deleted.
  • Job files, photographs and signed variations — 6 years from handover.
  • Certificates, structural calculations and building control paperwork — 10 years.
  • Invoices and accounts — 6 years plus the current tax year, as HMRC requires.
  • Yard CCTV — 30 days, unless it is needed for an incident.

Where it is stored

On UK-hosted business accounts with two-factor login, and on paper in a locked office at the yard. Only the foreman, the site manager and the office have access. If a supplier we use ever stores data outside the UK we will name them here and rely on the approved transfer safeguards.

If anything is ever lost or exposed in a way that puts you at risk, we will tell you and the ICO within 72 hours of finding out.

Your rights

You can ask for a copy of what we hold, ask us to correct it, ask us to delete it, object to how we use it, or ask for it in a portable file. Ring the yard or email hello@craftbuilt.uk and we will answer within one month, free of charge.

Some records we cannot delete on request — certificates, building control paperwork and tax records are held because the law says so. We will tell you plainly which ones and why. If you are unhappy with our answer you can complain to the ICO at ico.org.uk or on 0303 123 1113.
